You might be wondering: “Is KWHotel merging with GuestSage?”, “What will happen to the KWHotel brand?”, “What’s the deal with these systems?”

In fact, we’re enhancing our capabilities through a strategic partnership with GuestSage, experts in artificial intelligence (AI) for the hospitality industry.

Together, we’ve created what we call “deep integration” of our systems.

What does this mean for you?

Imagine a world where all your hotel’s systems work in perfect harmony – no need to switch between apps, no manual data entry errors, and no delays in information synchronization.

That’s the world we’re aiming to build with the KWHotel and GuestSage partnership.

What benefits can you expect from this? Here’s a quick breakdown of what this integration means for your business:


KWHotel Cloud – The latest cloud-based solution from KWHotel, which will eventually replace the desktop version of KWHotel. For now, both systems work together seamlessly.

KWHotel Cloud allows hoteliers to manage bookings, rates, room availability, and more, all from a web browser. It also serves as a Cloud Channel Manager, synchronizing with booking platforms. We’re constantly adding new features, and it already supports all GuestSage tools mentioned below.


GuestSage – A suite of advanced AI-powered tools developed in close partnership with KWHotel. Although GuestSage is an independent system, it’s deeply integrated with KWHotel. GuestSage includes solutions like AI Booking Engine, Price Optimizer, and occupancy forecasting powered by AI.

What is deep integration?

Deep integration means that all your hotel management tools function as one seamless system. Unlike basic synchronization, where systems exchange data with potential delays, deep integration eliminates lag and errors by allowing systems to share the same database. This results in real-time updates and flawless coordination between KWHotel and GuestSage.


How does this differ from basic synchronization?

In traditional synchronization, system A sends a notification to system B when an event occurs (e.g., a new reservation on Booking.com). System B then checks for new data, retrieves it, and updates its records. This process takes time, and you often need to log into both systems to manage different tasks.

With deep integration, all systems share the same database, eliminating delays and the need to switch between platforms.

Before we dive deeper into the topic of deep integration, we would like to clarify one important point: your data is not shared with GuestSage until you decide to use their solutions and give your consent for data transfer.

A closer look at how it works

Let’s imagine you receive a new reservation through the AI Booking Engine (GuestSage). Thanks to deep integration, the reservation data instantly appears in KWHotel. KWHotel can immediately send a personalized confirmation email to the guest. Meanwhile, GuestSage’s AI updates its occupancy forecasts and informs the AI Booking Engine algorithms of the new booking.

Later, when you update your rates for the weekend in GuestSage, these new prices will automatically update in KWHotel, the AI Booking Engine, and across all your connected booking platforms. GuestSage’s system will even recalculate rates across other rooms and rate plans based on your preferences. Everything works smoothly without your intervention.

📌 Your staff no longer needs to learn different systems, and the platform you choose to work on doesn’t matter. For example:

✅ You can manage rates in the KWHotel Cloud panel or in GuestSage – all updates will be synced automatically.


✅ If you add a phone reservation in KWHotel’s calendar, it will instantly be reflected in the AI Booking Engine, GuestSage, KWHotel Cloud, AI reports, and the Cloud Channel Manager. No need for manual entry!

✅ Want to manage prices through another system, like YieldPlanet? No problem!

Then YieldPlanet will send the new prices to KWHotel Cloud / GuestSage (remember, in practice, they are the same!), and our solutions will automatically recalculate and update the prices in all areas of the system.

Of course, we can configure everything for you in such a way that changing the price on the KWHotel booking calendar will cause the prices to be recalculated across all possible sales channels!

📌 What if I’m already using KWHotel Cloud and the KWHotel Booking Engine?


Great! Some users still operate on the older version of KWHotel Cloud. Here’s how to tell the difference:

1. The older version is hosted at cloud.kwhotel.com, while the new version is temporarily located at cloud2.kwhotel.com.

2. The older version includes the previous KWHotel Booking Engine, whereas the new version uses the AI Booking Engine from GuestSage.

The older KWHotel Cloud version will remain available until the end of 2025. During this time, we’re gradually transitioning all users to the new platform, offering a more intuitive interface, enhanced booking calendar, all the benefits of GuestSage, and advanced rate management tools.


How to start using the new version? The easiest way to switch is by logging out of the older KWHotel Cloud version and clicking on the New Cloud button on the login screen!

What happens if… KWHotel and GuestSage ever part ways?

Good question! While we don’t foresee any issues (GuestSage has been an amazing partner!), we’re prepared for any eventuality. Both systems can function independently if needed.
